Office administrator CV example
An office administrator's CV should itself show how organised you are: a clear structure, no mistakes, one page. As for content, show the administrative work you have done (managing documents and contracts, looking after clients, dealing with suppliers) and the software and languages you work in. If the job ad is in English, the CV is also your first writing sample: it shows how you would write to clients and head office.
This example suits office administrators, receptionists and executive assistants, including roles in international companies and shared-service centres where English is the working language.

What to put in an office administrator CV
How many people, documents, business trips or visitors a day: numbers turn “administration” into concrete experience.
Name the document management system, the CRM and the Microsoft 365 tools you use, and give your Excel level. Half of an administrator's work happens in software. In an English CV use the English terms: “document management system (DMS)” rather than DVS, “GDPR” rather than BDAR.
For international companies this is the first filter. Give the CEFR level (A1–C2) for each language, for example English C1, and make sure the English of the CV itself matches the level you claim.
A typo in an administrator's CV is a reason to reject it. Read it twice and ask someone else to read it a third time. In English, also check that you use one spelling convention (British or American) throughout.
Most common mistakes
- Duties described in general terms (“office administration”) with no processes or volumes.
- A CV longer than one page, padded with unrelated experience.
- Languages listed without a level.
Frequently asked questions
Should an office administrator's CV include a photo?
In Lithuania a photo is still common, especially for roles that involve receiving clients. If you add one, make it professional and neutral. International employers usually do not expect a photo on an English CV, so you can leave it out unless the ad asks for one.
How do I move into an executive assistant role?
Emphasise managing executives' diaries, travel and meetings, and handling confidential information. Add examples with volumes: how many managers you supported, how many trips or meetings a month.
What should I write if I have no experience?
Internships, volunteering at events, any work with clients or documents, and your software and language levels.
